Assigning Owners

Make one person accountable for a provider's spend so anomalies route to the right inbox automatically.

What is an owner?

An owner is the teammate who is accountable for a provider's spend. Each provider can have at most one owner at a time. Ownership is optional — providers without an owner sit in the shared pool visible to the whole team.

Only admins can set or change a provider's owner. Members can view ownership but cannot modify it.

How to assign an owner

1

Open the provider

Go to the Providers page and click the provider you want to assign.
2

Use the owner control in the header

At the top of the provider detail view, find the owner control. Click it to open the picker.
3

Pick a teammate or invite by email

Select an existing teammate from the list, or type an email address to send an invitation. An invited user becomes the owner as soon as they accept the invitation.
Single-person workspaces. If you are the only member of your workspace, the owner controls are hidden — there is no one else to assign.

What ownership does

EffectDetail
Auto-routingNew anomalies for the provider go straight to the owner's For you inbox instead of appearing in everyone's Needs attention feed.
Fewer shared alertsOnce a provider is owned, its alerts stop surfacing as unowned items for the rest of the team, reducing noise in the shared inbox.
EscalationIf an alert stays open for more than 3 business days, it moves to the admin Escalated inbox so nothing slips through.

Ownership vs. permissions

Ownership is about accountability, not access. Every member of the workspace can still see every provider regardless of who owns it. Admins always retain full access to all providers and alerts.

Ownership does not restrict visibility.Assigning an owner does not hide the provider from other teammates. If you need to restrict who can see billing data, manage that through workspace membership instead.

Removing or changing an owner

Open the same owner control in the provider header and clear the current owner, or select a different teammate. When a provider is unassigned it returns to the shared pool and its alerts become visible to the whole team again.

If a teammate is removed from the workspace, StackSpend automatically clears any providers they owned and unassigns their open alerts so nothing is left in an unreachable state.
